Q178 · Category D: Premises and Storage Requirements (Q151-Q200)
A computerised Warehouse Management System (WMS) is central to modern pharmaceutical distribution, and its data security and compliance are critical. First, the system must be validated to demonstrate that it is accurate, reliable and consistent, and can meet all GDP requirements, such as expiry-date management and batch traceability. Second, the system must have robust access controls, with different permissions for users in different roles, such as warehouse administrators and quality managers, to prevent unauthorised changes to data. The creation, amendment or deletion of all critical data must be recorded in an immutable audit trail, showing ‘who, when, where and what was changed’. Third, reliable data backup and recovery procedures must be in place to prevent data loss caused by system failure, cyberattacks or disasters. The recoverability of backup data should be tested regularly.

📘 Regulatory basis

For computerised systems, the Good Distribution Practice (GDP) has a specific annex requiring systems to be validated, have security controls and audit trails, and include data backup and recovery mechanisms.

📗 Drew Tang's recommendations

When selecting a WMS supplier, be sure to assess whether it has experience serving the pharmaceutical industry and can provide a complete system validation package. We recommend that clients choose a cloud-based SaaS solution, as these providers usually handle most system maintenance, security and backup, reducing your own IT burden. However, you remain responsible for the system’s use and management.

📕 Risk notice

Using generic inventory management software that has not been validated to manage medicines is high-risk. If the system lacks batch / expiry date management or an audit trail, or allows data to be changed arbitrarily, it does not meet pharmaceutical regulatory requirements. During an inspection, Department of Health officers will examine your computer systems closely; a non-compliant system may obstruct your licence application.
