Keeping the warehouse clean and hygienic is fundamental to preventing cross-contamination of medicines and ensuring appropriate storage conditions. An effective cleaning SOP should be highly practical. It should clearly specify: 1. The scope of cleaning: all areas, including floors, shelving, walls, ceilings and equipment surfaces; 2. Cleaning frequency: for example, floors daily and shelving weekly; 3. Cleaning tools and agents: specific types must be identified, and these materials must not contaminate medicines; 4. Detailed cleaning methods and steps: for example, working from top to bottom and from inside to outside; 5. Post-cleaning inspection criteria: achieving a “visibly clean” standard; 6. Cleaning records: a designated person should complete a cleaning log recording the date, time, person carrying out the cleaning and person inspecting it. There should also be a specific procedure for dealing with accidental spills, such as leakage from damaged medicines.

📘 Regulatory basis

The Good Distribution Practice (GDP) for Medicinal Products sets out clear requirements for cleaning storage areas, which must be kept clean and dry and maintained within acceptable temperature limits. Written cleaning procedures and records must be in place to demonstrate that cleaning has been carried out effectively.

📗 Drew Tang's recommendations

Assign cleaning responsibilities to specific personnel and train them on the relevant SOPs. Design cleaning logs to be clear and easy to complete. We recommend periodically validating cleaning effectiveness, for example by using ATP bioluminescence testing to quantify surface cleanliness, although this is not mandatory. Importantly, management should demonstrate its commitment to cleanliness and hygiene through inspections and foster a positive workplace culture.

📕 Risk notice

A dirty and untidy warehouse is the most obvious sign of GDP non-compliance. Dust, stains and accumulated rubbish can all become sources of microbial growth and cross-contamination. During a regulatory inspection, if cleaning logs are missing or clearly inconsistent with the actual conditions on site, inspectors may conclude that your SOPs and quality system exist only “on paper” and are not being implemented.
